How to
Set your service area and travel time
Travel settings decide who can book and when: your base, how far you'll go, how much notice you need and how far ahead customers can book.
Which plan
Service area, minimum notice and the booking window are on every plan. Lite keeps a fixed travel gap between bookings that you set. Pro uses road-based drive times with expected traffic, and adds travel charges by distance or drive time, and Eco times.
What customers see
Customers enter their address first. They're only offered times you can reach, allowing for the journey before and after each visit. Someone outside your area can't book a home visit.
Set it up
Step 1: Open the Travel tab
Go to Hours & availability and open the Travel tab. You'll see "Service area & booking limits".
Step 2: Set your base
Fill in your business base postcode. Add Business base address too if you want a precise starting point. Journeys are worked out from here.
Step 3: Set how far you'll go
Maximum distance (miles) is your travel radius from your base. Maximum travel time (min) limits each journey between appointments or from your base. Leave either empty for no maximum.
Step 4: Set notice and how far ahead
"Minimum notice for customer bookings (min)" stops customers booking a time sooner than that. Bookings you make yourself aren't limited. "How far ahead customers can book (days)" sets your booking window.
Step 5: Allow for parking and delays, or set your Lite gap
Extra travel time (min) adds time to each journey for parking or delays. On Lite, this is the fixed gap CalMov leaves between bookings instead of a drive time, so set it for your longest usual drive. Press Save scheduling limits. If you moved to Lite after your Pro trial, the gap you saved as "Manual travel gap between appointments (minutes)" on Your free Lite settings is used instead.
Step 6: Add travel charges (Pro)
On Pro, scroll to Travel pricing on the same tab. Tick "Apply a travel surcharge", choose how the journey is measured, Distance (in miles) or Drive time (in minutes), then press Add bracket and set From, To and Charge for each bracket, for example nothing for the nearest and a charge for the next. The charge is for the one-way journey from your base to the customer. Press Save travel pricing.
Step 7: Switch on Eco times (Pro)
On Pro, tick Eco times and save. On your booking page, the few times that add the least driving to your day get a leaf and "Eco". Every time stays available. You can also set a "Discount on eco times", which comes off the services of a booking at an eco time, never the travel. With "Show the days you're nearby" ticked, the days you're already working near the customer get a leaf on their calendar.
Step 8: Hide times that leave short gaps
Tick "Hide times that leave short gaps" and save, so customers aren't offered a time that would leave a gap next to another booking too short to fill. If every time in a gap would, the tightest ones stay, so the gap can still be booked. "Shortest gap worth keeping (min)" is your shortest service plus your travel gap unless you set it. This works on every plan.
Common questions
What's the difference between Lite and Pro for travel?
Lite keeps a fixed travel gap between bookings, which you set as Extra travel time (min) in the Travel tab. Pro works out road-based drive times with expected traffic for each booking, and adds travel charges by distance or drive time, and Eco times.
What happens when someone outside my area tries to book?
Customers further from your base than your maximum can't book a home visit. They enter their address first, so they find out straight away.
Does minimum notice apply to bookings I add myself?
No. It only limits customers. Bookings you make yourself aren't limited.
Do Eco times hide my other times?
No. Eco times only marks the times that need the least extra driving. Every time stays available, unless you also tick Hide times that leave short gaps.
Does CalMov plan my route for the day?
No. It checks that each booking fits with the journey before and after it. It doesn't reorder your day.
