Set up CalMov for massage therapy
By the end, clients book a 60 or 90-minute massage at their address, health answers reach only you and your admins, and each client has a profile, treatment notes and a rebooking reminder after 4 weeks.

Your setup, step by step
Step 1: Switch on the massage therapist tools
Open Toolkit and check Massage therapist is picked under "Your trade". Press "Back to massage therapist defaults" to switch on Client profiles, Health form, Forms after booking, Treatment notes, Site & access and Rebooking reminders. Every other tool goes off, and nothing is deleted.

Go to Booking page › Questions and, under "Suggested for massage", press "Pressure you like" (Light, Medium, Firm). Keep "Ask once and remember it for each client" ticked and press "Add question". You see the answer on the fact sheet for each of their bookings.
Step 3: Ask about health in private
Press "Injuries, conditions or medication" in the same list. It's asked in the form after booking, and under "More options" it's marked "Private: only you and admins can see it". Private answers never appear in emails, notifications or calendar events, and they aren't saved to the client's profile.

Open Booking page › Checks and, under "Suggested for massage", open "Health form". It's set to "The customer completes your form after booking", with a pass lasting 365 days, so tick the services that need it under "Needed for" and press "Add check". Clients book as normal, and the check is passed when they complete your form after booking.

In Booking page › Questions, add the questions your health form asks, with "In the form after booking" chosen under "When", alongside "Injuries, conditions or medication". You see the answers on the booking. If you'd rather see a form before anyone books, choose "Something you see, then you record it" under "How it's met" instead, and record Passed with "Record a result" once you've seen it.
Step 6: Ask about parking, space and the door code
In Booking page › Questions, find "Site & access" and press "Parking", "Space to work" and "Door or key code". Clients answer in the form after booking, and the answers are saved to the address. A door code is seen only by you and admins, and only on the day of the booking.

In Toolkit, under Treatment notes, press "Edit the job checklist". It starts as Check the health form, Treatment, Aftercare advice. Reword items, press "Add an item" for your own, then press "Save checklist".
Step 8: Set when clients are reminded to rebook
In Services, "Remind customers to rebook after (weeks)" is filled with 4 for massage therapists, and you can change it per service. About a week before a client is due, CalMov emails them a link to book the same service. Every email has a stop link.
Step 9: Try your own booking page
Press "View booking page" in Booking page › Questions. Book a massage that needs the health form as a test customer, then open the form from the confirmation email and complete it. The health form check is then passed for that test customer.
How different trades use it
- Sports massage
- Set a shorter rebooking time, such as 2 weeks, on the service your regular clients use.
- Pregnancy massage
- Add it as its own service and tick only that one under "Needed for", so it's the only service that needs a health form on record.
Common questions
Who can see a client's health answers?
Answers to questions marked Private are seen only by the owner and admins. They never appear in emails, notifications or calendar events, and they aren't saved to the client's profile.
Does CalMov provide the health form?
No. You write the questions in Booking page › Questions, and they're asked in your form after booking. The check records that the client completed it and when that pass runs out, and you see their answers. What the answers mean is for you to judge.
How does a new client book if they need a health form first?
They book as normal. The confirmation email links to your form, and completing it passes the check. If you chose "Something you see, then you record it" instead, they can't book those services online until a pass is recorded: record one once you've seen their form, or add the first booking yourself from the calendar.
Should I keep clinical notes in Treatment notes?
No. Treatment notes are for timings and practical details, such as how long the visit took and what to bring next time. Clinical records stay in your own clinical system.
What do I need Pro for?
The job checklist and the report you send the client. Everything else in this guide works on Lite.
