Set up CalMov for ear care
By the end, patients choose one ear or both and see the time and price, a screening question stops bookings you'd rather discuss first, and medical answers reach only you and your admins.
Which plan
Free on Lite: Patient profiles, one time & price question per service (or two combined into one table), the health form check, the form after booking with private answers, Visit notes with a job timer and your notes, Site & access and Rebooking reminders. Pro adds the job checklist, the report you send the patient, "We'll review it" and up to 10 time & price questions per service. Clinical records stay in your own clinical system.
Your setup, step by step
Step 1: Switch on the ear care tools
Open Toolkit and check Ear care (wax removal) is picked under "Your trade". Press "Back to ear care (wax removal) defaults" to switch on Patient profiles, Time & price questions, Health form, Forms after booking, Visit notes, Site & access and Rebooking reminders. Every other tool goes off, and nothing is deleted.

Go to Booking page › Questions and, under "Suggested for ear care", press "One ear or both?". Under "Changes the time or price of", keep Ear wax removal, leave One ear empty to add nothing and fill in "+ Minutes" and "+ Price" for Both ears, for example +15 min, +20 on the price. Press "Add question".

On Pro, press "Have you had ear surgery or a perforated eardrum?" and keep it changing Ear wax removal. Leave No empty. For Yes, set "Then" to "We'll review it" so the patient sends a request and you decide, or to "Can't book online" so they're told to get in touch.
Step 4: Or combine both questions in one table
A service on Lite has one time & price question, or two combined into a table. Add the surgery question with "The answer changes the time or price" switched off, then press Edit on "One ear or both?" and choose it under "Combine with". Fill in the time and price for each pair of answers, and set both Yes boxes to "Can't book online" if you'd rather speak to those patients first.

Add "Ear conditions, hearing aids or medication" from the same list. It's asked in the form after booking and marked "Private: only you and admins can see it". Private answers never appear in emails, notifications or calendar events, and they aren't saved to the patient's profile.
Step 6: Add the health form check
Open Booking page › Checks and, under "Suggested for ear care", open "Health form", which is set to "The customer completes your form after booking" with a pass lasting 365 days. Tick Ear wax removal under "Needed for" and press "Add check". Patients book as normal, and the check is passed when they complete your form after booking, where you add your health form questions.

In Booking page › Questions, find "Site & access" and press "Parking", "Power", "Space to work" or "Door or key code" for each one you need. Patients answer in the form after booking, and the answers are saved to the address for next time.
Step 8: Set the checklist and rebooking
On Pro, press "Edit the job checklist" under Visit notes in Toolkit to change Check the health form, Examine both ears, Wax removal, Aftercare advice. In Services, "Remind customers to rebook after (weeks)" is filled with 52 for ear care, and you can change it per service, for example to 26.
Step 9: Try your own booking page
Press "View booking page" in Booking page › Questions. Pick Ear wax removal as a test customer and answer both questions to see the time and price change. Book it, then open the form from the confirmation email and complete it, and the health form check is passed for that test patient.
How different trades use it

- Add "Power" and "Space to work" if your equipment needs a socket and room to set up.
- New patients seen first
- If you see new patients for an Ear health check first, choose "Something you see, then you record it" under "How it's met" and the Ear health check under "The service that does it", so they're offered "Book Ear health check first".
Common questions
Who can see a patient's medical answers?
Answers to questions marked Private are seen only by the owner and admins. They never appear in emails, notifications or calendar events, and they aren't saved to the patient's profile.
What happens when a patient answers Yes to the surgery question?
Whatever you set under "Then" for that answer. "Can't book online" tells them to get in touch. On Pro, "We'll review it" holds the time while you confirm, ask a question or decline within the reply time you set, from 1 to 72 hours.
How does a new patient book if a health form is needed first?
They book as normal. The confirmation email links to your form, and completing it passes the check. If you chose "Something you see, then you record it" instead, they can't book Ear wax removal online until a pass is recorded: record one once you've seen their form, add the first booking yourself from the calendar, or choose a first service such as Ear health check under "The service that does it".
Can I keep clinical notes in CalMov?
Visit notes are for timings and practical details: how long the visit took, what delayed it and what to bring next time. Clinical records stay in your own clinical system.
Why is rebooking set to 52 weeks?
That's the starting point for ear care. Change it on each service in Services, or set a service to send no reminders. One email is sent per visit, about a week before the patient is due, and every email has a stop link.
