Set up for your trade
Set up CalMov for hairdressing
By the end, clients see the time and price for their hair length, a colour can't be booked without an in-date allergy alert test, and each client has a hair profile and a colour and cut record.
Which plan
Free on Lite: Hair profiles, one time & price question per service (or two combined into one table), allergy tests, the form after booking, the Colour & cut record with a job timer and your notes, and Rebooking reminders. Pro adds photos, the job checklist, the report you send the client, "We'll review it" and up to 10 time & price questions per service. Lite has up to 2 active services, and a separate Patch test service counts as one.
Your setup, step by step
Step 1: Switch on the hairdresser tools
Open Toolkit and check Hairdresser is picked under "Your trade". Press "Back to hairdresser defaults" to switch on Hair profiles, Time & price questions, Allergy tests, Forms after booking, the Colour & cut record and Rebooking reminders, plus Photos if you're on Pro. Every other tool goes off, and nothing is deleted.
Switching a tool on in Toolkit and following Set it up. Recorded with example data. Step 2: Price by hair length
Go to Booking page › Questions and, under "Suggested for hairdressing", press "Hair length". For each service it changes, fill in "+ Minutes" and "+ Price" for Short, Shoulder length, Long and Very long, for example Long: +15 min, +10 on the price on a Cut and blow-dry. Press "Add question", and clients see the total as they answer.
Adding a question whose answers change the time and price. Recorded with example data. Step 3: Add a patch test service
In Services, add a short service for the test itself, for example "Patch test" at 15 minutes. Clients who need a test are offered it first on your booking page.
Step 4: Ask for an allergy alert test before colour
Open Booking page › Checks and, under "Suggested for hairdressing", open "Allergy alert test". It's set to at least 48 hours before, with a pass lasting 180 days, so choose your Patch test under "The service that does it", tick Root colour under "Needed for" and press "Add check". Root colour then says "Needs first: Allergy alert test, at least 2 days before" and offers "Book Patch test first".
Adding a check and ticking the services that need it. Recorded with example data. Step 5: Record each test result
When a Patch test appointment is finished, CalMov asks for the result and reminds you on Home until you record Passed or Failed. Recording a pass can email the client that they can now book. If a client reacts later, press "Needs doing again" on their check.
Step 6: Add hair type and the allergy question
In Booking page › Questions, add "Hair type" (Straight, Wavy, Curly, Coily), which is asked when booking and remembered for each client. Add "Allergies or sensitive skin" too. It goes in the form after booking and is highlighted, so it shows as "Important for this appointment".
Step 7: Set colour stages
In Services, open Root colour and find "How it's booked", then "Stages". Press "Add a stage" for each part, for example Apply 20 min (Working), Develop 30 min (Processing) and Rinse and finish 25 min (Working), then press "Save". Developing time is still part of the visit, so the whole slot stays booked.
Choosing how a service is booked. Recorded with example data. Step 8: Set the checklist and rebooking
On Pro, press "Edit the job checklist" under Colour & cut record in Toolkit. It starts as Consultation, Colour or treatment, Cut, Finish, and you can set "Colour or treatment" for Root colour only. In Services, "Remind customers to rebook after (weeks)" is filled with 6 for hairdressers, and you can change it per service.
Step 9: Try your own booking page
Press "View booking page" in Booking page › Questions. Pick Root colour as a test customer to see the allergy test message. Then book a Cut and blow-dry and choose a hair length to see the time and price change.
How different trades use it
- Colour specialist
- Tick every colour service under "Needed for", and use Stages so the developing time is part of each booking.
- Cuts and blow-dries only
- Leave the allergy check off and keep "Hair length", so long hair is booked for the time it really takes.
- Wedding and occasion hair
- On Pro, set the service to "Approve first" under "How it's booked", so the client sends a request and you confirm the time and price.
Common questions
Does a client need a new test before every colour?
No. A pass lasts for the number of days in "A pass lasts (days)", 180 unless you change it. While it's in date, the client books colour as normal.
What if a regular has no test recorded in CalMov yet?
They can't book the colour online until a pass is recorded. Record a result on their page in Customers with the date the test was done, or add the booking yourself from the calendar, where you're warned and can book anyway.
What happens when a test fails?
Record Failed. If the client then tries to book that service, they're told it can't be booked online and to get in touch.
Can I use the allergy test check on Lite?
Yes. The check, the hair length question and the form after booking are all on Lite. Lite has up to 2 active services, so a Patch test service leaves room for one more, and Pro includes unlimited services.
Can clients send a photo of their hair before the visit?
No, customers can't send photos of their hair. On Pro you can take before and after photos during the job and send the client a report with the ones you choose.
