Set up CalMov for pharmacy home visits
By the end, patients book a Vaccination visit or Medicines review at home, the consent form check is passed when they complete your form after booking, and medication and allergy answers reach only you and your admins.
Which plan
Free on Lite: Patient profiles, one time & price question per service (or two combined into one table), the consent form check, the form after booking with private answers, Visit notes with a job timer and your notes, Site & access and Rebooking reminders. Pro adds the job checklist, the report you send the patient, "We'll review it" and up to 10 time & price questions per service. Clinical records stay in your own clinical system.
Your setup, step by step
Step 1: Switch on the pharmacy tools
Open Toolkit and check Pharmacy (home visits) is picked under "Your trade". Press "Back to pharmacy (home visits) defaults" to switch on Patient profiles, Time & price questions, Consent form, Forms after booking, Visit notes, Site & access and Rebooking reminders. Every other tool goes off, and nothing is deleted.

Go to Booking page › Questions and, under "Suggested for pharmacy visits", press "Is the visit for someone aged 18 or over?". Under "Changes the time or price of", keep the services it matters for and leave Yes empty so it adds nothing. For No, set "Then" to "Can't book online" so they're told to get in touch, or on Pro to "We'll review it".

Add "Current medication" and "Allergies" from the same list. Both are asked in the form after booking and marked "Private: only you and admins can see it". Private answers never appear in emails, notifications or calendar events, and they aren't saved to the patient's profile.

Open Booking page › Checks and, under "Suggested for pharmacy visits", open "Consent form", which is set to "The customer completes your form after booking". "A pass lasts (days)" is empty, so a pass lasts until you press "Needs doing again". Tick the services that need consent, such as Vaccination visit, under "Needed for" and press "Add check".

In Booking page › Questions, add the consent questions you ask, with "In the form after booking" chosen under "When". Patients book as normal, the check is passed when they complete the form, and you see their answers on the booking. If you need consent before anyone books, choose "Something you see, then you record it" under "How it's met" instead, and record Passed with "Record a result" when you have it.
Step 6: Ask about parking and the door code
In Booking page › Questions, find "Site & access" and press "Parking" and "Door or key code". Patients answer in the form after booking, and the answers are saved to the address. A door code is seen only by you and admins, and only on the day of the booking.
Step 7: Make the job checklist yours (Pro)
In Toolkit, under Visit notes, press "Edit the job checklist". It starts as Confirm who the visit is for, Provide the service, Give advice and next steps, and each item can be for some services only. Press "Save checklist".
Step 8: Set when patients are reminded to rebook
In Services, "Remind customers to rebook after (weeks)" is filled with 12 for pharmacy visits. Change it per service, and set a one-off service to send no reminders. About a week before a patient is due, CalMov emails them a link to book the same service.
Step 9: Try your own booking page
Press "View booking page" in Booking page › Questions. Book a service that needs consent as a test customer, then open the form from the confirmation email and complete it. The consent form check is then passed for that test patient.
How different trades use it

- Tick Vaccination visit under "Needed for" on the consent check, and set it to send no rebooking reminders if it's a one-off.
- Medicines reviews
- Keep the private "Current medication" question for this service, and set its rebooking weeks to match how often you review.
Common questions
Who can see answers about medication and allergies?
Answers to questions marked Private are seen only by the owner and admins. They never appear in emails, notifications or calendar events, and they aren't saved to the patient's profile.
Does CalMov store consent forms?
You see the answers to your form after booking on the booking, and the check records that the patient completed it and the date. CalMov doesn't write the form or judge the answers, and it isn't a consent record system: keep signed consent and clinical records in your own clinical system.
How does a new patient book a visit that needs consent first?
They book as normal. The confirmation email links to your form, and completing it passes the check. If you chose "Something you see, then you record it" instead, they can't book that service online until a pass is recorded: record one once you have their consent, or add the first booking yourself from the calendar. If you collect consent at the visit, leave the check off.
Can someone book for a relative?
Yes. The person booking is the customer, and each patient they book for is saved as a patient profile with their own answers and their own consent result.
Can I keep clinical records in CalMov?
Visit notes are for timings and practical details: how long the visit took, what delayed it and what to bring next time. Clinical records stay in your own clinical system.
