Set up CalMov for podiatry

By the end, patients book routine foot care at home, the health form check is passed when they complete your form after booking, medical answers reach only you and your admins, and patients are reminded to rebook after 6 weeks.

Your setup, step by step

  1. Step 1: Switch on the podiatrist tools

    Open Toolkit and check Podiatrist is picked under "Your trade". Press "Back to podiatrist defaults" to switch on Patient profiles, Health form, Forms after booking, Visit notes, Site & access and Rebooking reminders. Every other tool goes off, and nothing is deleted.

  2. Step 2: Ask about mobility and access needs

    Go to Booking page › Questions and, under "Suggested for podiatry", press "Mobility or access needs", then "Add question". It's asked when booking and remembered for each patient. The answer is highlighted, so it shows as "Important for this appointment".

  3. Step 3: Ask medical questions in private

    Add "Diabetes, circulation problems or blood-thinning medication" from the same list. It's asked in the form after booking and marked "Private: only you and admins can see it", so the answer never appears in emails, notifications or calendar events. Add "GP surgery" too, which is asked in the same form and remembered for each patient.

  4. Step 4: Add the health form check

    Open Booking page › Checks and, under "Suggested for podiatry", open "Health form", which is set to "The customer completes your form after booking" with a pass lasting 365 days. Tick Routine foot care under "Needed for" and press "Add check". Patients book as normal, and the check is passed when they complete your form after booking, where you add your health form questions.

  5. Step 5: Or see new patients for an assessment first

    To see the form at an assessment instead, choose "Something you see, then you record it" under "How it's met" and New patient assessment under "The service that does it". A patient without a pass then sees "Needs first: Health form" on Routine foot care and is offered "Book New patient assessment first". When the assessment is finished, CalMov asks for the result, and recording Passed can email the patient that they can now book.

  6. Step 6: Ask about parking, space and the door code

    In Booking page › Questions, find "Site & access" and press "Parking", "Space to work" and "Door or key code". Patients answer in the form after booking, and the answers are saved to the address. A door code is seen only by you and admins, and only on the day of the booking.

  7. Step 7: Make the job checklist yours (Pro)

    In Toolkit, under Visit notes, press "Edit the job checklist". It starts as Check the health form, Treatment, Footcare advice. Reword items, press "Add an item" for your own, then press "Save checklist".

  8. Step 8: Set when patients are reminded to rebook

    In Services, "Remind customers to rebook after (weeks)" is filled with 6 for podiatrists. Change it on Routine foot care to match how often you see most patients, and set New patient assessment to send no reminders. About a week before a patient is due, CalMov emails them a link to book the same service.

  9. Step 9: Try your own booking page

    Press "View booking page" in Booking page › Questions. Book Routine foot care as a test customer, then open the form from the confirmation email and complete it. The health form check is then passed for that test patient.

Common questions

Who can see a patient's medical answers?

Answers to questions marked Private are seen only by the owner and admins. They never appear in emails, notifications or calendar events, and they aren't saved to the patient's profile.

Can I keep clinical notes in CalMov?

Visit notes are for timings and practical details: how long the visit took, what delayed it and what to bring next time. Clinical records stay in your own clinical system.

What about existing patients who don't need an assessment?

With the check met by your form after booking, they book as normal and complete the form. If you use an assessment first, record Passed on their page in Customers, with the date you last saw their health form. For a patient who isn't in CalMov yet, add their first booking yourself from the calendar, where you're warned about the check and can book anyway.

Can a relative or carer book for a patient?

Yes. The person booking is the customer, and each patient they book for is saved as a patient profile with their own answers and their own health form result.

What do I need Pro for?

The job checklist and the report you send the patient. Everything else in this guide works on Lite.
