How to

Why did my booking page offer a time I couldn't make?

Usually because CalMov didn't know about something: a travel gap shorter than the real drive, a service length without setup time, or an event in your calendar it can't see or place. Each has a setting that fixes it.

Which plan

On every plan. Lite leaves a fixed travel gap you set. Pro works out drive times with expected traffic and applies your maximum distance and travel time.

What customers see

Customers are only offered times that fit your hours, your bookings, your calendar's busy times and the travel allowed between them. The time they choose is checked again before the booking is confirmed.

Set it up

  1. Step 1: Check the length of the service

In Services, a service's duration is the whole block CalMov reserves. If it leaves out setting up and packing away, the next visit can be offered too soon after it.

  2. Step 2: On Lite, check your travel gap

Lite doesn't work out drives. It leaves Extra travel time (min) between bookings, set in Hours & availability, in the Travel tab, whatever the distance. Set it for your longest usual drive, not your average.

  3. Step 3: On Pro, add time for parking

Pro works out the drive for the time of day, but a drive time is only the drive. Extra travel time (min), in the Travel tab, adds time to each journey for parking and getting in.

  4. Step 4: Check the event is in your connected calendar

CalMov only reads the calendar you connected in Hours & availability, in the Calendar tab. Events in another calendar, events shown as free and invitations you declined don't block time. If the card asks you to reconnect, busy times aren't checked until you do.

  5. Step 5: Give calendar events their address

On Pro, a busy event with a location keeps the drive to and from that place. One without a location is taken to be at your base, so the drive from a job across town isn't counted. Add the address or postcode to the event.

  6. Step 6: Sync after adding a job at short notice

CalMov reads your calendar every 5 minutes. If you've just added a job and customers may be booking now, press Sync busy times now in the Calendar tab so it counts straight away.

  7. Step 7: Set enough notice

"Minimum notice for customer bookings (min)", in the Travel tab, stops customers booking a time sooner than that. Set it long enough to get ready and set off.

  8. Step 8: Check bookings you added yourself

When you add or move a booking that breaks a rule, CalMov tells you why, such as the travel or a busy time, and you can still press Book anyway or Move anyway. Minimum notice doesn't limit bookings you make yourself.

Common questions

Does CalMov check the time again before a booking is confirmed?

Yes. The time a customer chooses is checked again against your bookings, your calendar's busy times and the travel either side. On Pro, the journey is checked again before the booking is confirmed.

Why didn't an event I added a minute ago block the time?

CalMov reads your calendar every 5 minutes, and straight away when you press Sync busy times now. An event added since the last read isn't known yet.

Which calendar events block time?

Events that show you as busy. In Google Calendar, events marked free, cancelled events, declined invitations, working location and birthday events don't. In Outlook, busy, tentative, away and working elsewhere block time and free doesn't. In iCloud, events set to free don't.

Why are customers outside my area offered times?

On Lite, CalMov doesn't place the customer's address, so a maximum distance isn't applied. On Pro, addresses beyond your maximum distance or travel time aren't offered times.
