Set up CalMov for beauty treatments

By the end, a lash or brow treatment can't be booked without an in-date patch test, skin and medication answers reach only you and your admins, and each client has a profile and a treatment record.

Which plan

Free on Lite: Client profiles, one time & price question per service (or two combined into one table), patch tests, the form after booking with private answers, the Treatment record with a job timer and your notes, Site & access and Rebooking reminders. Pro adds photos, the job checklist, the report you send the client, "We'll review it" and up to 10 time & price questions per service. Lite has up to 2 active services, and a separate Patch test service counts as one.

Your setup, step by step

  1. Step 1: Switch on the beauty therapist tools

    Open Toolkit and check Beauty therapist is picked under "Your trade". Press "Back to beauty therapist defaults" to switch on all eight tools, shown with names such as Client profiles, Treatment record and Patch tests. Photos stays off on Lite because it's a Pro tool.

  2. Step 2: Add a patch test service

    In Services, add a short service for the test itself, for example "Patch test" at 15 minutes. Clients who need a test are offered it first on your booking page.

  3. Step 3: Ask for a patch test first

    Open Booking page › Checks and, under "Suggested for beauty treatments", open "Patch test". It's set to at least 48 hours before, with a pass lasting 180 days, so choose your Patch test service under "The service that does it", tick Lash lift and tint and Brow lamination under "Needed for" and press "Add check". Those services then say "Needs first: Patch test, at least 2 days before" and offer "Book Patch test first".

  4. Step 4: Record each test result

    When a Patch test appointment is finished, CalMov asks for the result and reminds you on Home until you record Passed or Failed. Recording a pass can email the client that they can now book. If a client reacts later, press "Needs doing again" on their check.

  5. Step 5: Price lash fills by the gap

    If you do lash extensions, add your infill service in Services, then press "How long since your last lash fill?" under "Suggested for beauty treatments" in Booking page › Questions. Choose that service under "Asked for" and set what Under 2 weeks, 2 to 3 weeks and Over 3 weeks add, for example 2 to 3 weeks: +15 min, +10 on the price. Set Over 3 weeks to "Can't book online" if you'd treat that as a new set.

  6. Step 6: Add skin type and the private skin question

    Add "Skin type" (Normal, Dry, Oily, Combination, Sensitive), which is asked when booking and remembered for each client. Add "Skin conditions, allergies or medication" too. It's asked in the form after booking and marked Private, so only you and admins see the answer.

  7. Step 7: Ask about parking, power and space

    On the same page, find "Site & access" and press "Parking", "Power", "Space to work" or "Door or key code" for each one you need. Clients answer in the form after booking, and the answers are saved to the address for next time.

  8. Step 8: Set the checklist and photos (Pro)

    In Toolkit, under Treatment record, press "Edit the job checklist", which starts as Consultation, Check the patch test, Treatment, Aftercare advice. In job mode you can take "Before" and "After" photos, up to 12 a job. After "Finish job", press "Send report" to email the client a message and the photos you choose.

  9. Step 9: Set rebooking and try your page

    In Services, "Remind customers to rebook after (weeks)" is filled with 3 for beauty therapists, and you can change it per service, for example 6 for a Lash lift and tint. Then press "View booking page" in Booking page › Questions and pick Lash lift and tint as a test customer to see the patch test message.

How different trades use it

Lash technician
Add full set and infill services, tick both under "Needed for", and use "How long since your last lash fill?" on the infill only.
Brow specialist
Tick Brow lamination and any tint service under "Needed for", and set each service's rebooking weeks to match how long the treatment lasts.
Facials
Leave Facial out of "Needed for" if it doesn't need a patch test, and use the private skin question in the form after booking.

Common questions

Does a client need a new patch test every time?

No. A pass lasts for the number of days in "A pass lasts (days)", 180 unless you change it. While it's in date, the client books as normal.

A client reacted after passing. What do I do?

Open their check on their page in Customers and press "Needs doing again". They then need a new pass before they can book those services online.

Who sees answers about skin conditions and medication?

Only the owner and admins. Private answers never appear in emails, notifications or calendar events, and they aren't saved to the client's profile.

Can I use patch tests on Lite?

Yes. Checks before booking is on every plan. Lite has up to 2 active services, so a Patch test service leaves room for one more, and Pro includes unlimited services.

Can clients send a photo of their lashes or skin?

No, customers can't send photos of their lashes or skin. On Pro you can take before and after photos during the job and send the client a report with the ones you choose.
