Set up CalMov for dog grooming

By the end, customers pick their dog's size and coat condition and see the time and price before they book, vaccinations are checked first, and each dog has a profile and a groom log.

Which plan

Free on Lite: Pet profiles, one time & price question per service (or two combined into one table), the vaccination check, the form after booking, the Groom log with a job timer and your notes, Site & access and Rebooking reminders. Pro adds owners sending a photo of the vaccination card when they book, photos, the job checklist, the report you send the customer, "We'll review it" and up to 10 time & price questions per service. Lite has up to 2 active services.

Your setup, step by step

  1. Step 1: Switch on the dog groomer tools

    Open Toolkit and check Dog groomer is picked under "Your trade". Press "Back to dog groomer defaults" to switch on all eight tools, shown with grooming names such as Pet profiles, Groom log and Vaccination check. Photos stays off on Lite because it's a Pro tool.

  2. Step 2: Price by dog size

    Go to Booking page › Questions and, under "Suggested for dog grooming", press "Dog size". Under "Changes the time or price of", keep Full groom and Bath and brush and untick Nail trim, then fill in "+ Minutes" and "+ Price" for Small, Medium, Large and Giant, for example Large: +30 min, +15 on the price. Press "Add question".

  3. Step 3: Add coat condition (Pro)

    On Pro, press "Coat condition today" in the same list and set what Good, Some matting and Severe matting add, for example Some matting: +20 min, +10 on the price. For Severe matting, set "Then" to "We'll review it" so you confirm the time and price yourself, or to "Can't book online" so the customer is told to get in touch. The answer is highlighted, so it stands out on the booking.

  4. Step 4: Or combine size and coat in one table

    A service on Lite has one time & price question, or two combined into a table, and Pro can use a table too. Add "Coat condition today" with "The answer changes the time or price" switched off, then press Edit on "Dog size" and choose it under "Combine with". Each pair of answers then sets the time and price (for example Large with Some matting: 165 min and a price of 70), replacing what you entered in step 2.

  5. Step 5: Ask for vaccinations first

    Open Booking page › Checks and, under "Suggested for dog grooming", open "Up-to-date vaccinations". On Pro it's set to "The customer sends a photo when booking", with a pass lasting 365 days: choose "Hold the booking until I accept it" or "Book it straight away; I'll look before the visit", and how soon photos are deleted. On Lite it's "Something you see, then you record it". Tick Full groom and Bath and brush under "Needed for" and press "Add check".

  6. Step 6: Accept or record each dog's vaccinations

    On Pro, an owner without a pass adds a photo of the card at the last step of booking. It waits on Home, for example "Look at Sam's up-to-date vaccinations photo", and accepting it records a pass for that dog. On Lite, when you've seen the card, open the customer in Customers (or their booking), press "Record a result", choose Passed and press "Save result", which can email them that they can now book. For a brand new customer, add their first booking yourself from the calendar, where you're warned about the check and can book anyway.

  7. Step 7: Add breed and the form questions

    Back in Booking page › Questions, add "Breed", which is asked when booking and remembered for each pet. Then add "Vet name and phone", "Allergies or medical conditions" and "Temperament and handling notes", which go in the form sent with the confirmation. The last two are highlighted, so they show as "Important for this appointment".

  8. Step 8: Ask about parking, power and water

    On the same page, find "Site & access" and press "Parking", "Power", "Water", "Space to work" or "Door or key code" for each one you need. Customers answer in the form after booking, and the answers are saved to the address for next time.

  9. Step 9: Set the checklist and rebooking, then test

    On Pro, press "Edit the job checklist" under Groom log in Toolkit to change Check skin, ears and eyes, Nails, Bath and dry, Clip and finish, Tidy up. In Services, "Remind customers to rebook after (weeks)" is filled with 6 for dog groomers, and you can change it per service. Then press "View booking page" in Booking page › Questions and book a test groom.

How different trades use it

Mobile grooming van
Switch on "Parking" and "Space to work" so customers say where the van can go, and leave "Power" and "Water" off if the van carries its own.
Grooming in the customer's home
Ask "Power", "Water" and "Space to work", and add "Door or key code" for customers who are out at work.
Small dogs only
Set Large and Giant to "Can't book online", so owners of bigger dogs are told to get in touch instead of booking a slot you can't do.

Common questions

How does a new customer book before I've seen their vaccination card?

On Pro, they add a photo of the card at the last step of booking, and the booking is held until you accept it or goes ahead straight away, as you chose. On Lite, services that need the check can't be booked online until a pass is recorded, and the customer is told why and what to do: see the card your usual way, then record Passed so they can book, or add the booking yourself from the calendar, where you're warned and can book anyway. Services you didn't tick under "Needed for", such as Nail trim, stay open to everyone.

Can customers upload a photo of the vaccination card?

Yes, on Pro. A customer without a pass can add up to three photos when they book. Only you and your admins see them, and they're deleted after the time you choose. You decide whether to accept them, and accepting records a pass for that dog that lasts as long as you set. On Lite you see the proof yourself and record the result.

What happens when a vaccination pass runs out?

A pass lasts for the number of days in "A pass lasts (days)", 365 unless you change it. After that, the customer needs a new pass recorded before they can book those services online again.

What if the coat is worse than the customer said?

In Services, open the service and under "How it's booked" choose "Book straight away, as an estimate". Customers then see an "About" time from their answers, and the booking is made at that time and price. If a groom needs longer, reschedule it to a time that fits. In job mode you can note what delayed the job, and it's saved in the Groom log, and on Pro "Approve first" lets you set the length and price before confirming.

Can one customer book two dogs?

Yes. Each dog has its own pet profile, its own size and coat answers, its own vaccination result and its own section in the form after booking.
